Note About Cooking Matters Transition: Salesforce will be accessible until September 30, 2024. During this period, users can enter information and retrieve reports and historical data. However, Share Our Strength no longer requires organizations to enter information in Salesforce.  


The first step in closing any program is to access the Program Record. You can navigate to your program using a variety of ways. The two quickest methods are:

  • The global search function, when you know the Program Code:


  • The “View Programs” button on the homepage:


Salesforce provides a close out widget for courses, tours, and other educcational activity program records that ensures that all required fields are completed, as demonstrated in the following video in which an other educational activity is closed. A full list of the information required for close out of each different program type can be found below.



The following fields are required by the national Cooking Matters team when closing an other educational activity:

  • End Date: Confirm the final day of the activity.
  • Location: Confirm the Location is correct.
  • Curriculum: Confirm the curriculum used.
  • Number of Adult and Children Anticipated and number of Adult and Child Participants: confirm the number of attendees originally expected (such as how many registered for an online program) and then how many attendees actually came to the program or series of program sessions.  


The following fields are required when closing a course:


  • End Date: Confirm the last day of the course sequence.
  • Location: Confirm the Location is correct.
  • Curriculum: Confirm the curriculum used for the course sequence.
  • Number of Adult and Child Participants and Graduates: For 5- and 6-session courses, a participant is someone who has attended at least one session and a graduate is someone who has attended at least 4 sessions. Teens under the age of 18 should be entered as children. If there are no child or adult participants, enter ‘0’ in the appropriate field.
  • All Team Members Entered: Confirm that everyone on the Program Team has been added to the Program record.

As long as a course’s End Date has passed and the fields above are completed, the course status will automatically change to “Closed” and a link to the end-of-course survey will be sent to the each member of the Program Team via email.


The following fields are required when closing a tour:


  • End Date: Confirm the day that the tour took place.
  • Location: Confirm the Location is correct.
  • Curriculum: Confirm the curriculum used for the tour.
  • Number of Adult Participants and Graduates: If there are no child or adult participants, enter ‘0’ in the appropriate field.

As long as a tour’s End Date has passed and the fields above are completed, the tour status will automatically change to “Closed.”
