Note About Cooking Matters Transition: Salesforce and Qualtrics will be accessible until September 30, 2024. During this period, users can collect surveys, enter information, and retrieve reports and historical data. Adding programs to Salesforce and generating a program code for each one is an integral step in accessing participant survey results. However, Share Our Strength no longer requires the use of Cooking Matters surveys or that organizations enter information in Salesforce as a means of reporting on activity.  


After uploading and/or transcribing, users should check Salesforce to make sure the correct number of surveys were successfully associated with the Program record. Data sometimes may appear "missing" due to small human errors. Use the table of contents below to jump to a particular section.



Missing Data Checklist


Use this "Checklist" to ensure the survey data was correctly submitted.

  • Tablets/Personal Electronic Devices:
    • Check that all the responses from each device were uploaded. If not, please hit upload button.
    • Check that the Qualtrics app wasn't in "preview" mode during survey administration. If it was, then the survey was not synced to Salesforce and you will have to collect it from the participant(s) again.
  • Participants verified they completed the entire survey by showing you the "Thank You" page. If not, you will need to collect survey responses again as partial responses will not upload to Salesforce.
  • Unique ID Information was correctly populated.
    • A Program record was correctly created (no dashes, spaces, or special characters) in Salesforce BEFORE administrating the survey. If it was not added prior to the first lesson, create the Program record and follow steps in Correcting Survey Responses.
    • Ensure that participants entered the correct Program code and same initials and zip code on both the pre- and post- survey. If this information was submitted differently between the pre and post-survey see Requesting Assistance for Locating Surveys.
    • See Correcting Survey Responses for how to associate a survey record with the Program if either of the two above options occurred.
  • Responses are missing from a participant survey record.
    • The cause is either the pre-survey record was not submitted or there are duplicated pre-survey records.
      • If the pre-survey record is missing from the related course and not associated with a course in the database follow the steps for Correcting Survey Responses.
      • If the pre-survey record is missing AND you cannot locate it following the directions in Correcting Survey Responses, then the survey was not submitted or completed by the participant unless there was a duplicate response.
      • Duplicated responses can occur if multiple persons in a class use the same Unique Participant ID or submit the pre-survey multiple times. Further, if a parent in a Cooking Matters for Families Course fills out the extra child form twice using the same initials the second form most likely will not push to the Database or Portal. See the Handling Duplicated Response section for next steps. 
  • The Survey data is missing from an associated course.  The cause is most likely a pre-survey specific issue. Follow the steps for Correcting Survey Responses.


Correcting Survey Responses


Follow these steps if you are missing pre-survey data. If you are missing post-survey data please jump to Requesting Assistance for Locating Surveys. 

  1. In Salesforce, click on the Participant Surveys tab and View: Missing Related Course. You will see a listing of all participant survey records unaffiliated with a course/tour record. 
  2. Filter responses by Created Date (aka the date of survey submission) as a frame of reference by double-clicking Created Date. To see the most recent records at the top of the screen double-click on this twice. 
  3. Locate the Participant Survey Name column on the left and click on the linked participant survey record that corresponds with the course of interest. 

  1. Click Edit in the Participant Record to update it.
  2. Locate the Course Code field and type in the correct Course Code for which this participant survey record should be associated.
  3. Locate the Course Field and search for the Course Record. 
  4. Locate the Unique Participant ID (this lists the course code, zip code, initials in this sample format: 0433366-20036-jkl)
  5. Update the Unique Participant ID:
    1. Type the correct correct course code
    2. If the issue you believe is a mismatching pre and post survey unique ID update the initials and zip code with the information entered for the post survey. 
  6. Click Save to record these changes.
  7. Open the course record to check to see if the missing participant survey record now correctly associates with the course.


Handling Duplicated Responses

  • To determine if this has happened you should reference your attendance sheet to see if any participants have the same first and last initials.
  • Use the referenced names on the attendance sheets and the participant records to determine which unique ID may have been used multiple times.

After determining which unique ID may have been used multiple times follow the next steps.

  1. Click on the Participant Survey Record
  2. Follow Steps 6 - 8 in Correcting Survey Responses to assign a new unique participant ID to this participant.
  3. Record the new Unique Participant ID on the Attendance Tracking Sheet.
  4. Send cmhelp@strength.org or submit a new ticket using the "Missing Survey Data" form to locate the missing survey.


Requesting Technical Assistance for Locating Surveys


In some cases Post-Surveys data or duplicated Pre-Survey data may not correctly push to the Database or Portal due to the Unique ID being incorrectly inputted. To locate these surveys please use the "Missing Survey Data" form on the Help Desk to submit the following information:

  • Curricula Type
  • Unique ID used for the Pre-Survey
  • Date of Survey Submission or Upload
